Know What Your Short-Term Rentals Are Actually Making
A practical Excel tracker for income, operating expenses, occupancy, NOI, mortgage payments, cash flow, maintenance, capital improvements, and software costs — across up to six properties.
Your bookings can look good while the property is still losing money.
Gross Airbnb or Vrbo revenue only tells part of the story. Cleaning, utilities, repairs, HOA fees, insurance, taxes, software, and debt service can turn a “busy” rental into a weak investment.
See real property performance
Separate operating performance from financing so you can see NOI and cash flow clearly.
Compare your rentals
Track up to six properties and quickly see which are carrying the portfolio — and which need attention.
Keep the details organized
Maintenance, CapEx, occupancy, and recurring software costs live in one workbook instead of scattered notes.
A dashboard that shows what matters
View the whole portfolio or select an individual property. The dashboard tracks total income, operating expenses, NOI, NOI margin, mortgage payments, cash flow after debt, occupancy, and average nightly rate.
Designed to expose the rental that is dragging you down
Strong portfolio totals can hide a bad property. The property comparison section automatically flags rentals that deserve a closer look.
In the sample workbook, this property has positive NOI but negative cash flow after debt. That distinction matters when you are deciding whether to improve, refinance, reprice, or sell.

Occupancy without another calculation
Available nights automatically follow the calendar for the selected year. Enter booked nights and ADR, and the tracker calculates occupancy, estimated room revenue, and RevPAR.
How it works
Name your properties
Enter the reporting year and add up to six rentals on the Setup tab.
Enter your monthly numbers
Add revenue, expenses, mortgage information, booked nights, and ADR. Yellow cells are the fields you update.

Frequently Asked Questions
Does this work with Airbnb and Vrbo?
Yes. The tracker is platform-independent. You enter your booking revenue, expenses, occupancy information, and other operating data regardless of where the reservation came from.
How many properties can I track?
Up to six properties in the current version.
Is the mortgage payment included in operating expenses?
No. The tracker keeps financing separate from operating performance. Mortgage interest is used in Net Income Before Tax, while the full mortgage payment is used to calculate Cash Flow After Debt Service.
Is this tax or accounting software?
No. This is an owner-management and performance tracking tool. It is not a substitute for bookkeeping, tax preparation, or advice from a CPA or other professional.
Do I need a subscription?
No. It is a one-time Excel workbook purchase.
Does it include sample data?
The paid workbook starts clean. A separate sample workbook is used on this page to demonstrate how the completed tracker works.
