Using smart lock codes instead of physical keys has several major advantages for Airbnb hosts:

- Easier management across multiple properties
For self-managing hosts, this is one of the biggest operational upgrades you can make.
The Smart Lock Setup I Use
I currently use Lockly smart locks across my properties, but this same general process also applies to systems like:
- Schlage Encode
- Yale Assure
- Alfred ML2
The exact app interface may differ, but the workflow is very similar.
Step 1: Create a Unique Guest Code
For each reservation, create a unique access code for the guest.
Avoid using:
- Repeating codes
- Simple patterns
- Permanent shared codes
Instead:
- Generate a unique code for every stay
- Keep code lengths consistent
- Use something guests can easily remember
Many hosts use:
- The last 4 digits of the guest’s phone number
- Reservation-related numbers
- Randomized PINs
Step 2: Set Start and End Times
This is critical.
The code should:
- Activate shortly before check-in
- Deactivate shortly after checkout
Example:
- Check-in: 4:00 PM
- Code activates: 3:45 PM
- Checkout: 10:00 AM
- Code expires: 10:15 AM
This prevents:
- Early unauthorized access
- Lingering access after departure
Step 3: Send Guests Clear Instructions
Good communication matters just as much as the lock itself.
I automate this process using Host Tools.
My guest message typically includes:
- Property address
- Lock location
- Access code
- Simple entry instructions
- Backup contact information
The simpler the instructions, the smoother the check-in experience.

Step 4: Test Your Codes
Before guest arrival:
- Confirm the code is active
- Test remote functionality if possible
- Verify battery levels regularly
Nothing creates stress faster than a failed check-in.
Step 5: Keep Backup Access Available
Even with great smart locks, you should always have a backup plan.
Options include:
- Backup physical key
- Secondary lockbox
- Alternate entry method
- Local contact person
Technology is great — until batteries die or Wi-Fi goes down.
